🦸 Avengers Assemble: The team that brought our latest corporate event to life.

When September rolls around, so does our busiest time of year. Conference season brings some of the biggest events we run all year. Corporate events that require months of planning, intensive creative workshops, extremely long set-up days and a lot of hard work from the team – this time was no exception. A corporate conference for a global leadership team. Plus their annual business awards show, which celebrates the amazing talent across their entire business. 

This meant one venue, two transformations and a whole lot of teamwork (and strong coffee), this is the story of our biggest event of the year.

The client, a FTSE100 company, has trusted us to deliver for many years, and this event signified the last one of a 5-year transformation programme. The brief was clear – to create an immersive experience that would inform, inspire and celebrate the change & transformation that has been made over the past 5 years. The challenge was to deliver a high-energy conference by day, turned into a glamorous awards night by evening, and then flip it all back again for day two.

From the start, it was clear this would take more than great ideas – it would need seamless collaboration and extreme planning. Our creative team led the charge on the concept, building a theme that encompassed the journey that the company had been on over the past 5 years. Our digital and content teams developed animations, websites and on-screen moments that supported the brand of the event. Meanwhile, our production and technical teams worked alongside to plan the logistics and turnarounds within tight timeframes. We made sure that each aspect of creating this event was integrated with the others to ensure a successful event.

The setup 

After months of planning, the setup day finally arrives. With a lot of anticipation and a few hold ups getting across London, we open the doors to our blank canvas venue and get straight to work. Our AV team start building the ground support for the stage, manifesting an impressive structure which holds an array of lighting fixtures and effects. The rest of the team is in full swing, creating ideation walls, building backdrops, Shell schemes and applying all the brand assets among other things. Slowly but surely, the white-walled building turns into an immersive event space filled with energy and vision. The team pushes on until all the final details are in place and ready for launch. A hard but rewarding 17-hour setup day turns our long-time vision into reality.

The conference day 1

The conference kicks off with the doors opening to a buzzing crowd of delegates. The venue is alive with crisp lighting, bold branding and a modern set to keep focus on the speakers and content. Our team was on the ground early, fine-tuning sound checks, managing speaker transitions and keeping the energy high throughout the day. Our live event delivery was in full swing – every detail had been considered, from the lighting to the digital assets that tied everything back to the event theme. As the final session wrapped, the conference successfully came to a close for the day, although our next challenge had just begun…

The turnaround

This was our Avengers Assemble moment. With just 2 short hours to transform the space from a professional conference into a glittering awards night, every team member was hands-on deck. Scenic elements were swapped out, a shimmering disco ball was added and the floor plan was completely rearranged. Once all the tables were in place, they were decorated and the caterers set each place ready for a delicious 3-course meal. Creative, technical and logistics all worked side by side to pull off a perfectly choreographed operation which relied on communication and trust.

What had just been a sleek conference area just hours before now stood as an impressive awards backdrop, complete with dramatic lighting, graphics and elegant table styling. The bulk of the turnaround was complete in an astounding 55 minutes (yes, we were timing) – all of which would not have been possible without the commitment and tenacity of our talented team.

The Awards evening 

As guests returned, they were met with a completely different space. A drinks reception and red carpet led them into the transformed area. The energy shifted from corporate to celebratory with a stunning 3-course meal, live music and lights dancing around the room. The Mocean team quietly ensured every cue was hit right on time, and the evening was seamlessly delivered.

The reset for day two

While the guests left the venue to continue celebrating, our team sprang back into action to prepare for the next morning’s conference. Overnight, the space was flipped once again – furniture rearranged, branding reinstalled, and staging returned to its daytime format. The conference resumed the following day without a hitch, and the cycle was complete. Three events, one venue, and one unstoppable team.

Once the conference had closed and the last piece of staging was packed away, the Domino’s pizza was ordered and a sense of achievement washed across the team. Months and months of planning and extremely long days had paid off. 

Moments like this remind us why we do what we do, and how important community and teamwork are. It’s not just about the lights and screens, it’s about creating experiences that connect people and celebrate achievement. Pulling off such a large-scale event like this isn’t just about the logistics and creative ideas – it’s about people. Every individual played their part to make sure every moment ran smoothly. From the first briefing to the final reset, communication, trust and collaboration were the key factors that made it all possible.
